Important changes

We are progressively converting our existing manual information systems to a new electronic system. This project will fully integrate the information we keep on our holdings and operations into a single accurate electronic system. This system will not change the type of services we offer, but it will help us to better manage and operate them. The GRR is endeavouring to implement its new system with the minimum disruption to its services and clients. However, as you can appreciate, the project is a massive one involving nearly 2 million boxes of records and over 400 client accounts. Many of our internal work processes and procedures are changing to maximise the benefits we achieve from our new system.

While we are trying very hard to minimise the impact this project will have on our clients, you may nevertheless notice some changes in your dealings with us. We have briefly described some of the changes you will see in a series of Fact Sheets.

Workorder

An important change you will notice relates to how we manage your requests for return of records and other services. Now all requests for return of records are the subject of a 'Workorder'. You will receive a copy of this Workorder along with the items you requested from the GRR. The Workorder replaces the copy of your request which used to be sent back to you with your records. The Workorder system allows us to maintain much greater control over your individual records while they are in our care, and will result in an improved service to our clients.
