This course provides participants with information on how to use a retention and disposal authority and prepare records for transfer to State Records. Participants practice culling and listing techniques using a functional retention and disposal authority.

This course is suitable for anyone who wishes to use general or functional retention and disposal authorities to destroy, transfer or store their records. It is suitable for staff in NSW public sector organisations other than Local Government. Council staff should attend Implementing a Retention and Disposal Authority for Local Government Records.

Interpreting and implementing a retention and disposal authority
- principles of records disposal
- general and functional retention and disposal authorities
- exercise on sentencing administrative file titles using general retention and disposal authorities
Normal administrative practice
- what is normal administrative practice (NAP)?
- acceptable and unacceptable NAP practices
Establishing a record culling program
- exercise on culling files using a functional retention and disposal authority
- differences between sentencing and culling
- methods used in culling records
Transfer procedures and recall
- complying with transfer requirements under the State Records Act 1998
- proposing State records for transfer and completing transfer documentation
- exercise using the Procedures for transferring custody of records as State archives
- recall of State archives
Storage
- requirements for storage of State records
Electronic records
- future management strategies for electronic records
Destruction
- requirements that must be met before State records are destroyed
- principles and methods of destruction and documentation requirements
Obtaining a retention and disposal authority
