State Records is making the individual items that make up the ARK available for loan to NSW country libraries that are not Community Access Points.
The Archives Resources Kit
The ARK consists of microform copies of our most popular and heavily used colonial records. Containing over 1565 items (962 fiche and 604 reels) the ARK has been distributed to 40 Community Access Points across New South Wales.
Making a request to borrow material
We will accept an ARK Loan Service request form by mail, fax or email.
Requests need to include the record series number and title/description, reel number or fiche number of the items requested. These details are available from the Guide to Using the Archives Resources Kit.
Services and charges
Material will be sent within 5 working days of State Records receiving a request form.
The charge (GST inclusive) is $14.00 per request plus delivery fee.
State Records will send the material by post. Express Post is available on request.
Limits on the number of items that can be borrowed
An order is limited to 10 microfilm reels and one microfiche title.
Where the material can be used
Loaned material is generally to be used in the borrowing library. Onlending to an outside organisation, such as a Family or Local Historical Society, by the borrowing library is only allowed if the equipment to read and/or copy the material is only available off-site from the library.
The borrowing library remains liable for any costs incurred due to loss, damage or overdue fees.
Loan Periods and loan extensions
The standard loan period is 5 weeks.
A loan extension for a further 3 weeks can be granted provided the item has not been requested by another library.
State Records can recall material at anytime.
When a loan is overdue
When an item is overdue for return by 7 days, State Records will contact the borrowing library. A second contact will be made if the item is not returned 7 days after the initial contact.
If an item is a month overdue it will be considered lost and the borrowing library will be required to pay a replacement fee.
Replacing lost and damaged material
The borrowing library will be required to pay for repairs if an item is damaged or pay a replacement fee for any item that is lost or damaged beyond repair.
The replacement or repair fee for an item is set by State Records and will vary according to the item.
The fee will include an administrative cost of $50. The administrative fee is non-refundable once an invoice for a replacement has been raised.
When a library's borrowing rights can be suspended
State Records reserves the right to suspend the borrowing privileges of a borrowing library until a requested replacement fee or repair fee is received.

State Records will invoice the borrowing library and payment can be made by cheque or credit card. State Records accepts VISA and MasterCard.
