Researching deceased estates files before 1923 is a complex process, with researchers often having to check up to five different indexes to locate a file. This index simplifies the process by combining all indexes into one searchable database. There are currently c.130,000 entries dating from 1880 onwards.

About the Index

The index covers 1880-c.1923. This is an ongoing project and entries are being progressively added - we are currently working on the Pre-A series which covers 1923-1939. Make sure you visit regularly for updates!

Information The index was compiled from Indexes to registers of deceased estates and not from the lists of files held by State Records. There may be entries in the index for which a file has not survived. If the file requested has not survived the payment will be refunded.

How to use this index

Duty Paid files

When you have located an entry in which you are interested, record the Date Duty Paid. Ensure you bring this date with you to the Western Sydney Reading Room (where the records are located). The Date Duty Paid will allow staff to locate surviving files.

Item lists for the files are available in the reading room. The lists, which are arranged by the Date Duty Paid, can be used to identify the container in which the file should be stored. We cannot determine whether the file has survived until the container (held at the Western Sydney Records Centre) is checked.

Z series files

When you have located an entry with a 'Z' number in the item column, record both the 'Z' file number and the [20/-] item number. This is enough information to request the file in the Western Sydney Reading Room. We cannot determine whether the file has survived until the container (held at the Western Sydney Records Centre) is checked.

How is the index compiled?

At present the index includes entries from the following series:

These indexes cover the Duty Paid files, 1887-1923 [20/1-896]  and the Z Series files 1880-1923 [20/6968-7089] and [20/11557-11568] from the series NRS 13340, Stamp Duties Office, Deceased Estates Branch: Deceased estates files, 1880-1959.

Access the records

Removing adhesive residueA proportion of State archives are fragile and for this reason we may withhold access to the original archive until it has received attention from our Conservation staff. Archives will be checked on a case by case basis as they are requested either in the Reading Room or for a copy order. If an archive requires conservation treatment there will be a delay in the archive being issued and/or copied. Conservation treatments can take up to six months to be completed. You will be notified if there is going to be a delay in an archive being issued and/or copied and if there will be additional copying charges for special format copying.

Are copies available?

Copy ServiceThere is a photocopy service available from this Index. You will see an 'Add to Cart' tickbox option on the search results page(s). We will copy the whole file as part of this service. Archives in Brief No 29 provides details of the documents that may be found on a Deceased Estate file. It should be noted that while a copy of the will may be included on the file, this is not always the case. Original wills (except for people who died intestate) are included in the series NRS 13660, Probate Packets.
